Privacy notice
Updated 16 October 2026. This notice covers the Subway Reading enquiry service, not any separate restaurant website.
Who is responsible?
Reading Office Lunch is operated by DutchDigital Ltd, the controller of information collected through this website. For privacy questions or rights requests, email hello@readingofficelunch.co.uk.
Information you provide
We collect your name, email address, mobile number if supplied, preferred contact method, optional company name, selected store, lunch requirements, headcount, preferred date and time, collection or delivery preference, notes and acknowledgement of these terms. A mobile number is optional for email contact and required if you choose a phone call or WhatsApp. Required fields are needed to handle the enquiry. Please do not include payment details, medical information, allergy details or personal information about other diners.
How and why it is used
We use enquiry information to review your request, coordinate with the selected store, respond to you using your preferred contact method and resolve related questions. We still email an enquiry acknowledgement. If you choose WhatsApp, the selected store may message you manually through WhatsApp; its privacy terms apply to that conversation. This form does not send automated WhatsApp messages or enrol you in marketing. Our lawful basis is legitimate interests in providing the enquiry service you requested. Hosting and spam-prevention providers may process technical details such as IP address, browser information and request time to keep the service secure. We do not add you to marketing lists through this form, sell your enquiry or make automated decisions about your eligibility.
Who receives it?
Authorised DutchDigital Ltd personnel can access submissions. Relevant enquiry details may be shared with the selected Subway store so it can respond; we do not automatically send your enquiry to a different restaurant. The restaurant is responsible for its own handling of information and any subsequent order. Netlify provides website hosting, form storage and spam filtering, using service providers including Akismet. Resend processes recipient addresses and email content to send enquiry notifications and customer confirmations. These are service messages, not marketing. Delivery information may be retained to investigate failures and prevent duplicate sends.
Storage and transfers
Submissions are held in access-controlled Netlify Forms, not in a public list. Providers may process data outside the UK, including in the United States. Netlify describes its transfer safeguards and processing terms in its data protection information. Contact us for information about safeguards relevant to your data.
How long we keep it
We retain enquiries while needed to respond, coordinate with the store and resolve follow-up questions or disputes. Continued retention is assessed against the status of the enquiry and any applicable legal obligations; information no longer needed should be removed. This is not an automatic deletion service. You can ask us to review or delete your information using the contact above.
Your choices and rights
Depending on the circumstances, you can request access, correction, erasure, restriction or portability of your information, and object to processing based on legitimate interests. We may need to verify your identity. You can complain to the Information Commissioner’s Office. Contacting us first may help resolve your concern.
Cookies and external links
With your consent, we use Google Analytics to understand website visits and usage. Google receives technical and usage information and may process it outside the UK. Analytics cookies (_ga and _ga_*) help distinguish visits and are configured to last up to six months. We do not load Google Analytics until you accept analytics cookies. Advertising consent and Google signals are disabled. We do not deliberately send enquiry names, email addresses, mobile numbers, notes or private URL parameters to Analytics.
You can accept or reject analytics and change your choice using the Cookie settings button. Rejecting does not prevent an enquiry. We remember your preference in this browser for six months using local storage; withdrawing consent stops future collection and removes this site's Analytics cookies, but does not automatically erase data already collected. See Google's privacy policy. Hosting and security services may process technical information needed to deliver and protect the website. Maps and restaurant links open third-party sites; their own privacy policies apply when you visit them.
Meta Pixel and advertising measurement
With your separate marketing-cookie consent, Meta Pixel (ID 3814415575377076) measures page visits and sends a Lead event after a successful enquiry submission. This helps measure Facebook and Instagram advertising and may support advertising audiences. Meta receives technical information such as IP address, browser, page URL and cookie identifiers, and may associate activity with your Meta account. Our Lead event contains only the store identifier, a generic enquiry label and a random event identifier; we do not include your name, email, phone or enquiry notes. Automatic event configuration is disabled in our integration.
Meta cookies such as _fbp and _fbc may persist for around three months. Meta may process information outside the UK. See Meta's privacy policy. You can reject marketing while allowing analytics, or reject both. Use Cookie settings to withdraw consent; this stops future Pixel events and removes this site's Meta cookies, but does not automatically delete information previously sent.
